Admin Reports

Helios Calendar includes the following reports to give admin users insight into how their calendar is being used, and which events users are most interested in.

Calendar Overview

The Calendar Overview report includes a current snapshot of many different calendar stats, including the top fifty events in eight different statistical categories.

Event Activity Report

The Event Activity Report is a custom built report (containing events selected by the administrator) comparing five activity stats for individual events against historic calendar max & average values.

Event Search

  • Search Dates - Required. The date range to be searched.
  • Search Keywords - Optional. Supports Event Search operators. Results will be limited to only events having the search criteria in their Title or Description.
  • Location Options - Optional. Filter search results by Location (individual), City, Region (State/Province/Localized Equivalent) or Zip Code (Postal Code/Postcode/Localized Equivalent).
  • Categories - Required. Filter search results by category. Only events assigned to selected categories will be returned.

Event Report Search Results

Beside each event in the Activity Report are two icons:

  • Edit Event - Click this icon to edit the event.
  • View Event in Public Calendar - Click this icon to view the event in the public calendar.

Activity Report Stats

  • Views - # of times users have viewed the event.
  • Directions - # of times users have clicked driving directions/map link for the event.
  • Downloads - # of times the event has been saved to a personal calendar.
  • Email - # of times visitors emailed the event to a friend.
  • URL - # of times a visitor clicked the Event Contact URL link.

How Views Are Counted

A view is only counted once per user per visit. If a user views the same event multiple times during the same session the view will only be counted once.

New & Updated Events

Within the New & Updated Events report event series are combined into a single report entry. The list can be toggled to show events listed in order of their Published Date or Updated Date. The tools available in this report vary between individual events and event series.

Individual Events

  • Edit Event - Click this icon to edit the event.
  • Billboard Event - Click this icon to manage Billboard Events.

Event Series

  • Edit Event Series - Click this icon to edit the event.
  • View Events in Series - Click this icon to view all events in the series.
  • Billboard Event - Click this icon to manage Billboard Events.

Most Popular Events

Events are listed in order of popularity with the most popular events listed first. Along side each event is one, or both, of the following icons.

  • Edit Event - Click this icon to edit the event.
  • Billboard Event - Click this icon to manage Billboard Events.

Calculating Popularity

In order to more accurately weight an events aggregate view count event popularity is determined by the daily view average for events. This allows newer events with smaller view counts to compete equally with older events that have accrued larger view counts.

Follow-Up Items Report

When managing Events and Locations admin users can, optionally, flag the item they are adding/edit/approving for follow-up. Events and Locations flagged for follow-up are listed in the Follow-Up Items Report.

Duplicate Event Report

The duplicate event report contains events that appear to have duplicates present in the public calendar. The first event (bold & underlined) is the earliest occurrence of the event and under it are it's believed duplicates.

By default event titles are included in the comparison and must match for an event to be a duplicate. Title can, optionally, be excluded as a required match for duplicate events (and compare only location, date & time) by unchecking the “Include Event Title” checkbox. Along side each event in the report are two icons and beside each duplicate event is a checkbox:

  • Edit Event - Click this icon to edit the event.
  • Delete Event - Click this icon to delete the event.
  • Checkbox - Select the duplicate event(s) to delete by checking the checkbox beside each event you wish to delete.

To delete multiple selected duplicate events at once click the “Delete Selected Events” button after making your events selections.

What is a duplicate event?

An event is considered a duplicate of another event when the following event data matches for all events:

  • Title (Optional)
  • Location
  • Event Date
  • Start Time

If all of these data elements are equal the events are considered a duplicate and included in the report.

Duplicate Location Report

The duplicate location report contains locations that appear to have duplicates present in the public calendar. The first location (bold & underlined) is the earliest copy of the location and under it are it's believed duplicates.

By default location names are included in the comparison and must match for a location to be a duplicate. Name can, optionally, be excluded as a required match for duplicate events (and compare only physical/street address) by unchecking the “Include Location Name in Comparison” checkbox. Along side each location in the report are three icons and beside each duplicate event is two:

  • Edit Event - Click this icon to edit the event.
  • Delete Event - Click this icon to delete the event.
  • Merge Locations - Click this icon to merge the location with all of it's listed duplicates.

Failed Sign Ins Report

When a failed sign in occurs for an admin account it is recorded. The two hundred most recent failed sign ins for all admin users can be reviewed in this report. Beside each failed sign in in this report are two icons:

  • Edit Admin - Click this icon to edit the admin account associated with the failed sign in.
  • Delete Failed Record - Click this icon to delete the failed sign in record.

If an admin user has reached the failed sign in limit and their account has been locked access to their account can be restored early by deleting their most recent failed sign in.

Note: A detailed overview for individual admins is available in their admin account summary which can be viewed by editing the admin.

Newsletter Report

The newsletter report contains summary data for a completed newsletter mailing along with updated real-time view statistics for the newsletter.

Newsletter reports can be accessed in the Newsletter Queue.
